Position Summary

To provide high-level executive and administrative support to the Executive Director in managing institutional, operational, communication, and strategic tasks. This position plays a critical role in ensuring the Executive Director's office functions smoothly, maintaining effective communication, coordination, and timely execution of priorities within the technical education framework.

Job Responsibilities

1) Administrative & Executive Support
  • Support the Executive Director in all aspects of daily administration, task coordination, and project execution.
  • Manage calendar scheduling, meeting arrangements, and heavy correspondence across departments and external stakeholders.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Provide proactive follow-up and status tracking of delegated tasks or assignments.
2) Meetings & Coordination
  • Organize, attend, and document all meetings involving the Executive Director.
  • Circulate meeting agendas, take minutes, and ensure implementation tracking of decisions.
  • Provide timely reminders and follow-ups with relevant departments.
3) Documentation & Records Management
  • Maintain organized records of meetings, key communications, and executive files.
  • Update internal databases and dashboards (e.g., SmartEdu, time sheets, event logs).
  • Ensure proper archiving and retrieval of documents, both digital and physical.
4) Communication & Visitor Handling
  • Handle incoming and outgoing electronic and telephone communications professionally on behalf of the Executive Director.
  • Welcome high-profile guests, maintain a professional demeanor, and represent the ED’s office positively.
  • Draft internal and external correspondence as required.
5) Departmental Coordination
  • Provide support to accounts, admin, and HR teams in executing special instructions from the Executive Director.
  • Assist with travel arrangements, expense reports, and protocol requirements for institutional visitors.
6) Special Assignments
  • Assist with reports, presentations, and projects as delegated by the Executive Director.
  • Accompany and support institutional events, inspections, and project-based assignments.
7) Reporting
  • Submit weekly, monthly, and session-based progress reports to the Executive Director and Principal through the Senior Assistant Director (Finance & Admin).
  • Ensure 100% accuracy and transparency in submitted reports.

Required Educational Qualifications
  • Master of Business Administration (MBA) in Any discipline
  • Bachelor of Business Administration (BBA) in Any discipline
Additional Qualifications

  • Master’s or Bachelor’s degree (minimum 4-year honors) in Business Administration, English, Education, or any relevant discipline from a reputed public or private university.
  • Candidates with a professional diploma or short courses in Office Management/Administrative Support/Project Coordination will be given preference.


Experience Requirements

  • Minimum 2–3 years of proven experience in administrative support, executive assistance, or coordination roles.
  • Experience in the education sector or working with top-level management in large organizations will be considered an added advantage.



Required Skills
  • Strong organizational, time management, and multitasking abilities.
  • Excellent communication and interpersonal skills in both Bangla and English.
  • High level of integrity and the ability to handle confidential information with discretion.
  • Proficiency in MS Office Suite, Google Workspace, and report writing.
  • Ability to work under pressure and meet deadlines with minimal supervision.
  • Sound judgment, proactive thinking, and a solutions-oriented mindset.
