Position Summary

The Jr. Project Coordinator (Assistant) will support the Project Coordinator in overall project implementation, budget monitoring, documentation, reporting, and stakeholder coordination. The role primarily focuses on administrative execution, financial tracking support, vendor coordination, and operational follow-up to ensure smooth implementation of all training and development projects under DIPTI & BSDI.

Job Responsibilities

1. Project Implementation Support

• Assist the Project Coordinator in day-to-day execution of all training and development programs. 

• Ensure training batches are conducted as per approved schedule and project guidelines. 

• Follow up with trainers, trainees, and admin teams for smooth implementation. 

• Support in maintaining attendance, class schedules, and training logistics. 

2. Budget Monitoring & Financial Support (Core Focus Area)

• Assist in preparing and maintaining project budgets, cost sheets, and expenditure tracking. 

• Monitor daily project expenses and ensure alignment with approved budget limits. 

• Collect and verify vendor quotations, bills, and payment documents. 

• Maintain proper financial documentation for audit and donor compliance. 

• Support in cost control and highlight any budget deviation to the Project Coordinator immediately. 

3. Vendor & Procurement Support

• Communicate with vendors for procurement of training materials, logistics, and services. 

• Collect quotations and prepare comparative statements for approval. 

• Follow up on purchase orders, delivery timelines, and payment processing. 

• Maintain vendor database and procurement records. 

4. Reporting & Documentation

• Assist in preparing weekly, monthly, and project progress reports. 

• Maintain all project-related files (hard copy & soft copy). 

• Support documentation for NSDA, SDF, SICIP, RPL, and donor reporting requirements. 

• Ensure data accuracy in attendance, enrollment, and training outcomes.

5. Stakeholder Coordination

• Support communication between management, trainers, trainees, and external partners. 

• Assist in organizing meetings, workshops, and donor visits. 

• Follow up on instructions from the Project Coordinator and ensure timely execution. 

6. Trainee & Training Support

• Assist in trainee enrollment, selection, and onboarding processes. 

• Support maintaining discipline, attendance, and dropout control. 

• Help in addressing basic trainee issues and escalation to higher authority when required. 

7. Compliance & Quality Support

• Ensure adherence to project guidelines (NSDA, SDF, SICIP, RPL, BTEB, etc.). 

• Support quality monitoring of training sessions and feedback collection. 

• Assist in maintaining gender and inclusion targets (women, PWD, minority groups). 

8. Administrative & Operational Support

• Support daily office coordination and project logistics. 

• Maintain records of equipment, training materials, and inventory. 

• Assist in any special tasks assigned by the Project Coordinator or Management. 

Required Educational Qualifications
  • Bachelor's degree in Business Administration (BBA)
Additional Qualifications

Education

• Bachelor’s degree in Business Administration, Development Studies, Management, Accounting, or related field. 

Experience

• 1–3 years experience in project support, admin, or training coordination (preferred). 

• Experience in NGO, training institute, or development projects will be an advantage.
