Position Summary

We are looking for the position of Executive Assistant to CXO at ShopUp.

Job Responsibilities

The Executive Assistant will work directly with the CXO of a dynamic, fast-paced startup environment. This role requires a proactive, highly organized individual capable of handling a wide range of administrative and executive support-related tasks. The Executive Assistant must be comfortable working in a fluid, agile setting and exhibit the ability to maintain a high level of professionalism and confidentiality while managing multiple priorities.

  • Provide high-level administrative support to the CXO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents with a high degree of accuracy.
  • Act as a liaison between the CXO and internal/external stakeholders to ensure efficient communication and follow-up.
  • Support the CXO in project management, including tracking deadlines, deliverables, and action items.
  • Attend meetings, capture detailed notes, and ensure timely dissemination and follow-up of action points.
  • Conduct research and prepare briefing materials to support strategic decision-making.
  • Manage confidential information with integrity and discretion.
  • Assist in the preparation of reports, proposals, and key business documents.
  • Handle ad-hoc personal and professional assignments as required to facilitate the CXO's effectiveness.

Required Educational Qualifications
  • Master of Business Administration (MBA) in Any discipline
  • Bachelor of Business Administration (BBA) in Any discipline
Additional Qualifications

Professional Experience:

  • 1 to 2 years of experience as an Executive Assistant, preferably supporting C-level executives in startups or high-growth organizations.
  • Exceptional organizational and time management skills, with the ability to adapt quickly to changing priorities.
  • Strong interpersonal skills with the ability to build relationships across all levels of the organization.
  • Proficient in Microsoft Office Suite, Google Workspace, and collaboration/project management tools like Slack, Asana, or Trello.
  • Strong problem-solving skills and a proactive, can-do attitude.
  • Ability to work independently with minimal supervision in a fast-paced environment.
