Position Summary

The Administrative Officer will ensure efficient administrative and operational management of the University Press, coordinate publication activities, maintain records, and support finance and procurement, manage inventory, and provide administrative support for publishing projects and events.

Job Responsibilities

Administrative Management

  • Oversee daily administrative operations.
  • Maintain office records, files, and documentation.
  • Coordinate meetings, schedules, and communications.

Publication Coordination

  • Manage publication workflow.
  • Coordinate with authors, editors, designers, printers, and vendors.
  • Monitor publication timelines.

Financial & Procurement Support

  • Prepare budgets, quotations, invoices, and payment documents.
  • Handle procurement.
  • Maintain financial records.

Communication & Correspondence

  •  Draft official letters, emails, reports, and notices.
  • Respond to stakeholder inquiries.

Inventory & Distribution

  • Supervise inventory.
  • Coordinate distribution.
  • Maintain sales and circulation records.

Event Support

  • Assist with book launches, fairs, exhibitions, and academic events.

Policy & Compliance

  • Ensure compliance with university policies.
  • Maintain confidentiality.
  • Support QA and copyright documentation.

Reporting & Documentation

  • Prepare reports.
  • Maintain publication databases.

Technical & Operational Support

  • Coordinate with printing providers.
  • Assist with website/digital publication updates.

Required Educational Qualifications
  • Bachelor's degree in business administration, Management, or a related field
Additional Qualifications

Educational Qualifications
  • Bachelor;s degree in Business Administration, Management, Public Administration, or a related discipline.
  • Master's degree preferred.
Experience Requirements
  • 3–5 years of experience in administration, office management, or a related field.
  • Experience in a university, publishing house, or educational institution will be an advantage.
  • Only candidates with relevant work experience are encouraged to apply. Fresh graduates are discouraged from applying.

  • Good communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Strong organizational and documentation skills.
  • Ability to coordinate with internal and external stakeholders.
