Job Summary

We are looking for Front Office Executive in our team.

Job Description

Job Responsibilities:
1. Provide upscale guest service experiences for clients throughout their stay
2. Ensure clients are properly greeted upon their arrival
3. Monitor daily bookings and ensure assigned rooms are prepared prior to check-in
4. Coordinate luggage collection and storage
5. Oversee check-in and check-out procedures, including reservations and financial transactions
6. Promptly address guests' requests, like in-room dining
7. Actively listen to and resolve complaints
8. Ensure special guests, like disabled people, elderly, children and VIPs, receive personalized services
9. Coordinate and manage communication between guests and staff and follow up to ensure we resolve customer concerns
10. Promote all resort amenities, conveniences and programs offered
11. Manage guest relations team (including Receptionists and Concierges) to ensure we comply with all standards and operating procedures
12. Appraise team's performance and produce regular reports
13. Liaise with Housekeepers and Wait Staff to provide an overall comfortable guest experience
14. Examine daily duties, assign tasks and check on progress
15. Analyze customer feedback from resort guestbook and online reviews and suggest ways to improve ratings
16. Processes reservations by mail, telephone, telex, cable, fax or central reservation systems referral.
17. Processes reservations from the sales office, other resort departments, and travel agents.
18. Knows the type of rooms available as well as their location and layout.
19. Creates and maintains reservation records by date of arrival and alphabetical listing.
20. Determines room rates based on the selling tactics of the resort.
21. Communicates reservation information to the front desk.
22. Processes cancellations and modifications and promptly relays this information to the front desk.
23. Understands the resort's policy on guaranteed reservations and no-shows.
24. Processes advance deposits on reservations.
25. Tracks future room availabilities on the basis of reservations.
26. Helps develop room revenue and occupancy forecasts.
27. Prepares expected arrival list for front office use.
28. Makes sure that files are kept up to date.
29. Maintains a clean and neat appearance and work area at all times.
30. Promotes goodwill by beings courteous, friendly, and helpful to guests, mangers, and fellow employees.
31. Walk around with the client and ensuring that they secure whatever services they are in need of.

To be aware of all front office procedures and assist with reception duties when required.
